Challenge

Managing the sheer volume of applications from The Villages through traditional manual processes was unsustainable. Developers operated on their own platforms, requiring the County to handle duplicate data entry, manual document exchanges, and coordination for reviews, stamping, inspections, and result reporting. Solution

Citizenserve implemented a robust automated integration between The Villages’ software and the County’s Citizenserve permitting and inspections platform. This bidirectional integration automatically imports permit applications and associated plans from the developer’s system into Citizenserve. County staff can then perform efficient reviews and return stamped or approved documents electronically. Inspection requests flow seamlessly from The Villages into Citizenserve, and completed inspection results are automatically published back to the developer’s system in real time. The solution leverages Citizenserve’s flexible APIs, automated workflows, and secure data exchange capabilities to create a true end-to-end process that supports the County’s expedited agreement while maintaining full regulatory oversight and auditability.

Outcome

The integration has delivered impressive efficiency gains, with the County now receiving an average of 18 new permit applications per day from The Villages alone and achieving an average time to issue of less than 1.5 days. Staff also handle over 230 inspections per day for the community. This high-volume, streamlined operation allows Sumter County to keep pace with rapid growth, significantly reduces administrative burden and manual data handling errors, and maintains strong compliance and service levels for both developers and residents.
