Cloud-Based Permitting Software Overview- New Release!

In this brief video, get an overview of our cloud-based permitting software - including licensing and code enforcement. Plus, check out the sneak peek of our new software release - coming soon!

Cloud-Based Permitting Software Overview

First, we submit a building permit from the Online Citizen Portal. Citizens get specific information about their city or town's building process. From supporting documents to department contacts to online applications, the portal is the one-stop shop for how to submit a building permit. Then we log into the staff side to process the permit. Workflow routes help your departments track their reviews. Metrics and reports offer oversite of your processes. Once the permit is issued, citizens access the certificate from the portal. Then they can request an inspection.

Licensing Overview

Second, we submit a business license through the portal. We'll build your application using custom fields, so we can collect the information you need to process licenses in your community. Licenses can be reviewed, or issued when paid, depending on your needs. Business owners access their applications through the portal to track progress and answer questions.

Code Enforcement Overview

Finally, we open a code case as a staff member. With our code enforcement and request tracking solutions, your citizens can report issues and your staff can respond. This is a great view of the citizenserve new release!

New Release Sneak Peek!

Watch this video for a Sneak Peek at the Citizenserve New Release! We show some highly configured features for a large city in the North east. They asked for quick entry and automation for their permitting and rental inspection processes.

First Demo Scenario - Building Permits

First we submitted a building permit through our citizen portal. The portal is in queue for some updates related to the new release! Expect more posts about this soon. Next, we logged in as a staff member to process the permit in the new release! Check out the updated layout and note the cool metrics on Morgan's dashboard. We'll post more videos about all of the new features in the new release soon!. We used the more information button to open the permit from within the review activity - this is a great shortcut! The user reviews the application for missing items, then clicks the browser tab for the review activity to make notes. We edited a library common comment that a site plan was missing and the system sent an automated message to the applicant when the activity was closed.

Then, back at the citizen portal - we reviewed the email and returned to the portal to upload the missing site plan. Did you know that activities on the portal notifies staff, so you never miss updates from your constituents?

Next, as staff, we check the online modification notice and approve the permit. Then, as the applicant, we pay for the permit and receive a copy in our inbox. We can also view our permit in the portal. Then we used the Request an Inspection feature.

To address the demo script provided to us, we showed:
- how easy it is for a portal user to change their information
- discussed how to update property representatives on a project
- viewed the property file
- use the search feature to find actively licensed tradespeople
- shrank and expanded the window size to show off the portal's responsive design
- translated the portal into multiple languages.

Second Demo Scenario - Certificate of Occupancy Inspections

The next scenario asked us to quickly add 2 violations to 3 units and a common area in a multi-unit rental. We built a quick entry table using a feature only available in the New Release - called a custom table within a table (or CUT). The CUT allows an inspector to enter as many rows of data as needed, and data in the CUT can be logged as text, check box, search, drop down, etc.

Replacing a Sunset System

Peoria, Arizona is a longtime Citizenserve customer; in fact, they have been using the Citizenserve Code Enforcement module longer than any other customer. When they needed a new solution for managing business licenses and filing tax returns, they turned to Citizenserve. Peoria needed a solution that could be flexible enough to encompass both business licensing and tax return submissions, and it needed to be implemented quickly to replace a system that was about to be sunsetted.

Citizenserve replaced Peoria’s outdated, on-premise system with a cloud-based, flexible solution that offers unlimited support for a fraction of cost. Through our agile implementation process and with Peoria’s active involvement, Citizenserve was able to deliver the complete solution ahead of schedule. Since implementation, the business licensing process has shifted from over-the-counter and mail in transactions to an automated process that can be submitted online, dramatically simplifying the licensing processes and reducing associated staff time.

Sree Antari, Peoria IT Project Manager, was responsible for managing Peoria’s project activities and ensuring that the system was thoroughly tested and met all requirements. After go live, Sree reported that Peoria “received positive feedback from our citizens about the ease of business licensing application submissions, online status tracking and online payment capabilities. We like the automatic workflow functionality, we were able to configure the workflow to automatically route the business licensing applications to various departments for approvals based on application type. We have eliminated manual intervention in processing the business license applications, thus improved customer service and enhanced the customer experience.”
